1. Plan well in advance and do thorough research.What's your budget? Where will the event be held? Do you want an exclusive venue just for your group, or is reserving a table enough?
2. Food service.Will you order catering from an external provider? Are you considering a potluck where everyone brings a dish? Or will you find a venue that offers food service? Make this decision early on.
3. Combine activities!Many venues allow you to combine meetings with the party. Why not hold an inspiring meeting earlier in the day, leading into the evening festivities?
4. Organize the evening's segments.Will there be speeches? If so, who will give them? Do you need a projector and screen? Will you require a sound system for presentations or musical performances? Will there be an awards ceremony? Check with the venue to see if they can assist with these needs.
5. Entertainment for the party?Why not elevate the event with a musical performance? Or perhaps you'd prefer a comedian?
6. When should the party take place?Consider hosting the event on a weekday. This ensures higher attendance and avoids conflicting with people's personal time on weekends. Monday through Wednesday are often good days.
7. Send out invitations,whether by email with a calendar invite, creating a Facebook event, or sending physical invitations. Set clear start and end times. Don't forget to include an RSVP deadline!
8. Specify the dress code.The more specific you are, the better. Is it smart casual? Dark suit?
